What are my flights?

We book group tickets on commercial scheduled airlines. Although we book most flights far in advance your flight details may not be visible in My Account until approximately 30 days prior to departure when the contract is finalized with the airlines to ensure the least number of changes.

What if the name on my ticket is incorrect?

The name on the airline ticket must match the full name on your passport including your middle name. We ticket based on the names in MyAccount, so please triple check that it is correct. If you do realize it is incorrect after it has already been ticketed, please email us immediately. Once the account has been ticketed, we will need to contact the airline and additional fees may apply for a name chance or a new ticket may need to be purchased.


Am I able to pick my seat?

Maybe. Sorry we can’t be more specific. Each airline contract is different, and some allow individuals to change a seat or pick an upgraded seat, but some give the group a block of seats and simply assign them alphabetically. If the airline you are on does allow individuals to select a seat, you should be able to use your record locator on the airline's website usually 30-7 days prior to departure to log in and make that update.


Is it possible for me to upgrade my seat on the flight?

We book on group contracts and most contracts do not allow upgrades. If you would like us to book you separately, we can try. Please note that there is an additional $250 upgrade charge for 2025 trips plus the cost of the seat upgrade. Once the seats have been upgraded normally the ticket is nonrefundable above and beyond the standard cancellation fees. In order to upgrade please send an email to Ask@acis.com detailing what type of seat upgrade you would like i.e. business, comfort plus, more legroom. Also, state if a traveling companion will be upgrading and if you want to sit together. The deadline for requesting a seat upgrade is 90 days prior to departure.

Am I able to apply my Frequent Flyer number to collect points from this trip?

Each airline has different rules when it comes to Group Contracts. We cannot add Frequent Flyer numbers, KNT (Known Traveler Numbers) for Global Entry or TSA Pre-Check on your behalf. Please ask the airline once you are closer to departure if your number can be added or for Frequent Flyer numbers you can try and add it during Check-In.

I’m coming home later than the group; can I schedule a different return flight through you?

Yes, as long as you inform us no later than 90 days prior to the departure date. To request an alternate return, you will need to fill out an Alternate Request Form.  Use this one for an Alternate Return in 2025 or this link for Alternate Return in 2026-2027   You will need to detail the flight information and date of the return on the form and any other alternative options in case we are not able to get you the first option.  Please note we cannot guarantee specific flights and airlines as we are using the group contracts based on the group's travel. We will be unable to confirm any Alternate Return Requests until after the main group's flights are confirmed so we thank you in advance for your patience.  Once alternate return tickets are booked, they are nonrefundable.

Can I book my own flights?

You are allowed to fly on your own; we call this a No-Airfare Passenger. However, you must confirm the correct departure date and gateways with your group leader before making your own bookings. If you choose to purchase only the land portion of the program, you must make your own round-trip travel arrangements and join the group at the first hotel accommodation. Please note that neither we nor the group leader is responsible for you when you are not part of the main group. The deadline to select being a No Airfare passenger is 90 days before departure.

Can I have a different departure city than my group?

Participants not originating from the same U.S. departure city as the main group will be required to pay an Alternate Gateway Fee (currently $175) and will not be guaranteed air routings with the main group. Depending upon their airport arrival time, these participants may not be met at their arrival airport and may have to make their own way to their first hotel. In these cases, ACIS will provide a standard transportation allowance. Participants wishing to fly internationally with the main group must arrange their own transportation to and from the main group’s airport.
